250 doors' worth of owner comms, in your voice, before lunch.
Maintenance quote comparisons, inspection reports, and the hard letters, drafted with the exact ledger facts and reviewed by your team before anything sends.
Type five lines about the job. Get back the finished document, priced from your list, in your voice, ready to send after you approve it.
Sound familiar?
Every maintenance event is three quotes, one comparison, one recommendation, one chase. Times fifteen a week.
Inspection reports are written twice: once on the checklist, once as prose.
One tone misstep in an arrears or breach letter becomes a complaint, or worse, a tribunal exhibit.
Use case 01
Maintenance quote triage, same day
Today
Repairs stall in the inbox: quotes arrive over days, the comparison email takes half an hour to compose fairly, and every stalled approval is an unhappy tenant AND owner.
Instead
Quotes in; a clean comparison and recommendation email out: price, inclusions, timeframe, a clear recommendation with the reasoning, and an approval ask with a date. Owners approve from their phone.
With the default assumptions shown here, that's worth $18,688 a year. Slide the numbers to yours.
Your numbers: adjust them
Assumes ~5 minutes of review per event. Faster approvals also mean faster repairs. The owners you keep because of that aren't priced in here.
Use case 02
The hard letters, measured every time
Today
Arrears, breach, renewal negotiations: high-stakes letters written by whoever's most stressed that day, with the agency's name at the bottom.
Instead
The ledger facts go in; a measured, professional letter comes out with the exact figures cited. Firm without heat, every time, reviewed before it sends.
With the default assumptions shown here, that's worth $7,973 a year. Slide the numbers to yours.
Your numbers: adjust them
The complaint or tribunal escalation a consistently measured register avoids is worth more than the minutes.
The edge case
The storm: 40 owners, 40 different letters, one afternoon
A hail event touches a third of the rent roll. Every owner needs a specific letter about their property, their damage report and their next step. And they all need it today.
One run against the property facts: forty individual letters, each accurate to that property, none copy-pasted, all queued for your review. The agencies that communicated first are the ones that kept their managements.
How it starts
01
Send your price list and five documents you've written: quotes, reports, letters. That's the whole setup.
02
It learns them: your exact prices go into editable tables, your way of writing gets picked up, and your usual documents become one-click jobs.
03
Your first real document goes out the same day, drafted in minutes, reviewed and sent by you.
It drafts; you approve. Nothing is ever sent, signed or submitted without a person reviewing it first.
Fair questions
We use PropertyMe / Console / our trust system. Does this replace it?+
No. Your trust accounting and workflows stay exactly where they are. This writes the words: the owner emails, the reports, the letters your PM software leaves to a blank compose window.
Does it send anything by itself?+
No, and it can't. Every document is a draft until a person approves it. Even connected email and calendar actions wait in an approvals inbox for a human click. That's how it's built, not a setting.
Who owns what we put in, and what happens to our price list?+
You do, outright. Uploaded documents are deleted within 24 hours of processing. Your price lists and reference documents sit in your own account, locked away from everyone else, downloadable at any time, and never used to train AI models. Cancel and you keep everything. Delete and it's gone immediately.
Can tenants or owners tell it's AI-drafted?+
It drafts in your agency's usual style, from your past letters, and a staff member reviews everything before it sends. What reads as 'AI' is generic wording. The whole point here is that the wording is yours.
